BIA Recorder Privacy Policy

BIA Recorder is a browser extension and recording tool made by BIA Nutrition for its own coaching team. Coaches use it to record short video feedback for their clients: their screen, their voice, and a small camera bubble in the corner. This policy explains what the extension does, what a recording contains, where it is stored, and who can see it.

Who uses it

Only BIA Nutrition staff can record. The recording page lives inside the BIA coaching dashboard, which requires a staff sign-in. Clients do not install anything. A client receives a private link to watch a recording made for them.

What the extension itself does

  • It draws the camera bubble and its Record, Pause and Stop controls on the page the coach is looking at, so the bubble appears in the screen recording.
  • It opens the browser's built-in share picker when the coach presses Record. The browser asks the coach what to share every time. The extension cannot start a screen capture on its own.
  • It remembers the bubble's size, shape and position in the browser's local extension storage on the coach's computer.
  • It communicates only with the BIA dashboard recording page open in the same browser. It makes no network requests of its own, loads no remote code, contains no analytics or advertising, and does not read, store or send the content of the web pages it appears on.
  • The camera image shown in the bubble travels from the recording page to the bubble inside the browser on the coach's own computer. The extension never sends camera video anywhere.

The extension asks for permission to run on all websites because a coach may be coaching from any page, such as a client's nutrition log or training app, and the bubble has to follow them there.

What a recording contains

When a coach records, the BIA dashboard recording page captures and stores:

  • the screen, window or tab the coach chose to share, including any system audio;
  • the coach's camera video and microphone audio;
  • a title, the client the recording is for, the coach's identity from their staff sign-in, and the time and length of the recording;
  • a transcript and captions generated from the audio after recording.

Because coaches record feedback on a client's check-in, the screen portion may show that client's information, such as their name, progress photos, food log, training data or check-in answers. Coaches are trained to share only what the client needs to see.

Where it is stored and processed

  • Cloudflare hosts the BIA dashboard and stores the video files. Captions are produced by Cloudflare's speech-to-text service from the recording's audio.
  • Neon hosts the database that holds recording details: title, client, coach, timestamps, and a log of link activity.
  • GitHub runs the automated step that turns the raw files into the final video with captions. That automation is controlled by BIA Nutrition.
  • Google distributes the extension through the Chrome Web Store. Google does not receive any recording data from us.

Video is uploaded while the coach records, over encrypted connections, and is never stored on a public address. Incomplete uploads are removed within a day.

Who can see a recording

  • The coach who made it and BIA Nutrition administrators, inside the dashboard.
  • The client, through a private link. The link contains a long random token that cannot be guessed. Anyone the client shares the link with can watch it, so clients should treat the link like a private message. A coach can issue a new link, which retires the old one, or revoke a link at any time.

When a link is opened we record that it was opened and when. The viewer's IP address is used to limit abusive traffic and is not stored with the recording.

How long we keep it

Recordings are kept so clients can look back at their feedback for as long as they work with BIA Nutrition. BIA Nutrition deletes recordings on request, and when a client's coaching relationship ends we review and remove recordings that are no longer needed. To ask for a recording to be deleted, email us at the address below.

What we do not do

  • We do not sell or rent recordings or any personal information.
  • We do not use recordings for advertising or share them with advertisers.
  • We do not use recordings to train artificial intelligence models.
  • We do not track coaches or clients across other websites.

Your choices

Clients can ask their coach for a recording to be deleted or its link revoked, and can ask us what recordings exist for them. Coaches can remove the extension at any time from their browser's extensions page; the recording page still works without it, with the camera added afterwards in the corner instead of a live bubble.
